May Tips For Professional Success

Tip for Organizations:

We have been meeting virtually once a week due to our State’s Stay at Home mandate. Due to continual distractions, we don’t have clear results regarding accountability for each team member and their duties.

Answer:

Virtual meetings should have clear guidelines or goals with time allotted for discussion and solutions. A good solution to the problem is appointing a “sergeant at arms” for each meeting. His or her responsibilitiy is to honor the timelines and responsibilities in order to ensure accountability. This should be a rotating role, so each member shares the responsibility. You might also want to determine the time of the weekly meeting. It does not have to be the same duration, but it should be a regularly scheduled meeting each week. On some weeks the meeting might be longer due to the agenda items and discussion.

What is the best way to handle a rude comment or question?

Answer:

Your first response should be silence. Wait a few seconds and then change the subject. If the person persists with the question, simply say, “an answer is not necessary”.

What are some key etiquette tips for a virtual meeting?

Answer:

Dress for the audience. Have a pleasant background if possible (a professional location, such as an office, not a bedroom). Use the mute button when you are not speaking. Only drink water or coffee. Do not eat food unless the meeting is held during a lunch hour and everyone is eating. Allow food only as a last resort.

How can we handle a team member who always joins the virtual meeting late and unprepared?

Answer:

Have a private meeting with the individual. Consider whether the time of the meeting needs to change or whether there are other options to ensure the team member will be on time and prepared. Impress upon this individual (and others) the importance of being on time and being prepared for a meeting. He or she needs to be a role model for others.
